Everything you need to know about using BehaviorTrack

🚀 Quick Start -- First Time Setup

Use the default PIN 1234. Go to Manage Students → Change Admin PIN and update it immediately to something private.

Add Your Students

Go to Manage Students → Add New Student. Enter the student name and room/class. Only the admin can add or remove students -- staff cannot see student names until the admin adds them.

Staff Can Now Log In

Staff select Staff / Aide on the login screen, choose the student they are working with from the dropdown, and tap Start Logging.

Share the App Link

Send staff the URL of this page. Anyone who opens it will connect to the same live database -- all data is shared in real time across all devices.

How to Log a Behavior

On the login screen, select Staff / Aide
Choose the student you are working with from the dropdown
Tap Start Logging
Select the correct time slot (15-minute intervals from 8:00am to 3:00pm)
Fill in any Behavior Data fields before tapping a behavior button:
🎯 Activity -- What was the student doing when it happened?
⚡ Antecedent -- What triggered or came right before the behavior?
🔴 Behavior -- Describe exactly what happened in detail
✅ Consequence -- What was your response? What happened after?
Optionally add photos by tapping the photo area
Tap the behavior button (SIB, Hitting, Eloping, etc.) to log the entry
The entry immediately appears in Today's Log below

Editing or Deleting a Log

Each entry in Today's Log has two buttons at the bottom:
✏️ Edit -- Change the behavior type, time slot, ABC fields, or photos
🗑 Delete -- Removes the entry (asks for confirmation first)
Note: You can only edit or delete today's logs. The admin can view all logs in Reports.

Behavior Types Explained

SIB
Self-Injurious Behavior -- student hurts themselves (hitting head, biting self, etc.)

Hitting
Student hits, kicks, or strikes another person

Disrobing
Student removes clothing inappropriately

Physical Agg.
Any physical aggression toward others not covered by Hitting

Tantrum
Crying, screaming, floor dropping, non-compliance episode

Eloping
Student runs away or leaves the designated area without permission

Outburst
Verbal outburst, yelling, screaming at others

🔑 Administrator Guide

Manage Students Tab

• Add Student -- Enter student name and room/class. Students appear in staff dropdown immediately.
• Remove Student -- Removes from login dropdown. Their existing logs are kept in the database.
• Add Behavior Type -- Create custom behavior categories beyond the defaults.
• Remove Behavior Type -- Tap the ✕ on any behavior tag. Existing logs using that type are not deleted.
• Change PIN -- Update the admin PIN. The new PIN takes effect immediately on all devices.

Reports Tab

• Filter by individual student or all students at once
• Filter by Today, This Week, or This Month
• By Type -- bar chart showing frequency of each behavior
• Full Log -- every incident with ABC data, time slot, and photos
• Export options: Print, Save as PDF, Email, Save to Google Drive

Log Behaviors Tab (Admin)

As admin you can also log behaviors directly. Use the student selector dropdown at the top of the logging screen to switch between students without signing out. You also have the ability to add new behavior types directly from the logging screen.

🟢 Live Data & Firebase

BehaviorTrack uses Firebase Realtime Database -- this means:
• All data is saved to the cloud instantly when a behavior is logged
• Multiple staff can log at the same time from different devices
• The admin sees all logs in real time without refreshing
• Data is accessible from any phone, tablet, or computer
• If the internet goes down briefly, data will sync as soon as the connection is restored

The green LIVE badge in the header confirms the app is connected to the database.

💬 Frequently Asked Questions

Can staff see all students?

No. Staff select one student at login and only see logs for that student. They cannot browse other students' data.

Can staff edit or delete old logs?

Staff can only edit or delete logs from today. The admin can view all historical logs in the Reports section.

What if I forget the Admin PIN?

The PIN is stored in the browser on your device. If lost, contact your IT administrator to reset it in your browser's local storage, or contact the app developer.

Can multiple schools use the same app?

Currently all schools share one database. A multi-school login system is planned -- each school will register their own account and data will be completely separate.

Are photos stored securely?

Photos are stored as encoded data inside Firebase. Only people with access to the app can view them. We recommend not photographing students' faces for privacy.

How long is data stored?

Data stays in Firebase indefinitely until manually deleted. A data retention and cleanup feature is planned for a future update.

What browsers work best?

Chrome, Edge, and Safari work best. Firefox also works. We recommend using the latest version of your browser for best performance.
